Registration Policies & Procedures  

The Summer and Fall 2010 Course Schedules are now online (JewellCentral, MyJewell, and Jewell's website).  Students must meet with their advisors to be advised for Summer and Fall and for their advising restriction to be released to register!

All students may register online using MyJewell for SUMMER courses beginning April 14th at 12:00 am, providing your account is cleared of advising and financial restrictions.

Please refer to the following Registration Schedule for Fall to determine the date you will be eligible to register online using MyJewell.  (This includes students currently studying abroad.)  Step-by-step instructions have been provided to students via email and are available on JewellCentral under Students--click on MyJewell Handbook.  Please read carefully!

            Beginning April 16th, 12:00 am            Seniors and Juniors (58+ completed hours)
Beginning April 21st, 12:00 am            Sophomores (26+ completed hours)
            Beginning April 29th, 12:00 am            First-Year Students (less than 26 completed hours)  (open to all)
 
Registration will remain open as new classifications are added to the schedule. In other words, juniors and seniors may continue to register on the dates sophomores and first-year students are able to register.

COMPLETED HOURS does NOT include your current enrollment for Spring semester.  Any pending grades (Incompletes, PRs, NRs, etc.) are not completed hours.  Check your cumulative hours on MyJewell (click on Transcript), and check your classification (SR, JR, SO, FR) on your directory listing on JewellCentral, to be sure of your registration status.  If you find what you believe to be a discrepancy, check with the Registrar's Office.


Student Responsibility:
It is the student’s responsibility to comply with WJC Catalog regulations and posted registration policies and to enroll in courses appropriate for meeting degree requirements.  All students must read and agree to abide by the Registration Policies & Procedures set forth by the Office of the Registrar to register for courses.

Following are general registration policies and procedures that apply to every semester.  Please refer to the specific document entitled Registration Policies and Procedures which is emailed with Online Registration--Step by Step Instructions each semester for more specific information.
 
Financial HoldsStudents with financial holds (due to account balance or pending financial aid) will not be allowed to register until their account is resolved and the balance is zero. Be sure to check your account status with the Business Office to determine if further action is required to bring your account balance to zero.
 
Advising Restriction:  Students must meet with their advisors prior to attempting to register. An "advising restriction” has been placed on all MyJewell accounts, which must be released by the advisor.  Until this hold has been released, you will not be allowed to register. This is to be released when you meet with your advisor.
 
Block Schedule:  The BLOCK SCHEDULE form is available at the Registrar’s window, and a printable version is available on the Registrar's page, as well as on JewellCentral. A printable version is also attached to the email sent each semester giving Registration Policies and Procedures and Step-by-Step Instructions.
 
Registration Schedule:  A Registration Schedule is posted each semester indicating when each classification will be allowed to register (Seniors, Juniors, Sophomores, First-Years).  Please refer to the posted schedule specific to the upcoming semester to determine the date you will be eligible to register. Please read carefully!

SUBMITTING FORMS TO REGISTRAR:  All forms must be submitted to the Registrar’s Office AFTER you have completed online registration for your other classes. This includes: Permission to Enroll, Internship / Independent Study, Pass/Fail, Repeat of Course. The Registrar’s Office cannot accept any forms for the upcoming semester BEFORE you have registered online for all courses possible. These forms will be processed at the window when submitted to complete your registration.
 
Permission to Enroll (Requires Instructor's Consent and Closed Classes):  Students will NOT be able to register online for courses listed as Requires Instructor’s Consent. You must submit to the Registrar’s Office a signed blue Permission to Enroll form for all Requires Instructor's Consent courses and for closed classes (one form per course) AFTER you complete online registration for your other courses. Please refer to the Schedule of Courses on either MyJewell, Jewell Central, or the website to check if courses are designated Requires Instructor's Consent.    
 
Overload:  MyJewell will not allow students to enroll in more than 18 hours. Students may not exceed 18 credit hours total semeter enrollment without the approval of the Academic Dean.  Any hours over 18 must be submitted to the Registrar’s Office in the form of an add card signed by the advisor and must be accompanied by a signed Dean's Permission for Overload form (available at the Registrar's window). This form requires specific information including cumulative GPA and hours, pass/fail hours, hours repeated, reason for overload request, etc., which must be verified by a Registrar staff member prior to the Dean's approval.  The form must be accompanied by a transcript submitted by the Registrar's Office.  Overload charges will apply to any total enrollment over 18 credit hours (no classes are exempt from overload charges).  Tip:  If enrolling in more than 18 hours, enroll online in courses that may close and do not require special forms.  Save any courses requiring special forms to submit to the Registrar, and enroll online in all courses you can before adding overload hours.
 
Variable Credit:  Students may register online for courses with variable credit (0-1, 1-3, 1-6, etc.). Be sure to enter the number of credit hours for which you will take the course. If the number of hours is not selected, the system will default to the lowest number possible.  (Example:  MUS 380--Chapel Choir, either 0 or 1 credit)
 
Adding Courses:  Students may ADD courses to their online schedule until the day before classes begin (or perhaps a few days before).  Check the posted schedule on the Calendar of Important Dates.
 
Dropping Courses:  Students may NOT DROP courses using MyJewell. All drops must be handled at the Registrar’s window by submitting a drop/add card signed by the advisor.  Beginning the first day of classes, the instructor’s signature will be required on all drops/adds, regardless of first meeting date of the class.
 
Independent Studies and Internships:  A purple Independent Study / Internship form is required to enroll in independent studies and internships.  This form must be completed by the supervisor of the independent study or internship and submitted to the Registrar's Office with a drop/add card to enroll.  Students may NOT enroll in these courses online, unless it is listed as a regularly offered class on the Schedule of Courses.
 
Pass/Fail:  Requests to take a course "pass/fail" must be made at the Registrar's window with a blue Pass/Fail card and must be submitted by the end of the first week of classes, which is also the last day to register or add classes (except for second-seven-weeks).  Pass/Fail requests must be submitted to the Registrar by the student. Informing your advisor or marking a registration form will NOT designate a course as Pass/Fail. The Registrar must have the blue card with your signature on file.
 

Conflicts in Schedule:  Students may not enroll in courses with conflicting times/days, even if they overlap by only a few minutes.  Rare exceptions will require written consent from both instructors acknowledging the situation and stating how the time conflict between the classes will be resolved. Students should enroll online in the course most likely to close or in the course needed most and then should submit the required documentation (via signed Permission to Enroll forms) for the two courses to the Registrar's office.

Repeating a Course:  Students repeating a course must submit a gold Repeat of Course form to the Registrar's window to ensure that the repeated course is reflected properly on the student’s academic record. Only courses with a grade below C- may be repeated to replace a grade. 

TECHNICAL DIFFICULTY:  If you encounter technical difficulty while registering, contact the Registrar’s Office. If the problem cannot be resolved at the Registrar's Office, a staff member will escalate the problem to the proper I.S. staff member.  Students should NOT contact Information Services directly.  The Registrar staff will register students at the window (need advisor’s signature), if problems cannot be readily rectified.
 

It is against College policy to abuse the online registration process in any way, which includes enrolling in courses for the purpose of holding a space in a particular class for another student or to over-enroll in courses to hold space with the intent of dropping hours later. Students who do not adhere to Registration Policies and Procedures are subject to loss of online registration privileges in addition to administrative changes in student’s registration to meet approval of the advisor, the Registrar, and the Academic Dean.
